- Description: A detailed explanation of the task, outlining what needs to be done and why.
- How to Fill: Provide a clear, concise description (1-2 sentences). Focus on the task’s objectives and purpose. Example: Develop a three-tier loyalty program to enhance customer retention by rewarding long-term subscribers.
- Start Date / End Date
- Description: The expected completion date of the task.
- How to Fill: Enter the exact end date in the format (YYYY-MM-DD). Example: 2023-05-01
- Priority Level
- Description: The level of urgency or importance of the task.
- How to Fill: Select the priority level from the following options:
- Example: High if the task is critical to project success or deadlines.
- Assignee
- Description: The individual or team responsible for completing the task.
- How to Fill: Input the name(s) of the person or team in charge of the task. Example: John Lee (Marketing).
- Status
- Description: The current state of the task.
- How to Fill: Choose the most relevant status from the following options:
- Not Started: Task has not yet been worked on.
- In Progress: Work is actively being done.
- Completed: Task is finished.
- Blocked: Task cannot proceed due to external dependencies.
- On Hold: Task is temporarily paused.
- Example: In Progress when work has started on the task.
- Estimated Time
- Description: The estimated number of hours or days needed to complete the task.
- How to Fill: Input the estimated time based on project or team discussions. Example: 20 hours.
- Linked Project
- Description: The project the task is associated with.
- How to Fill: Input the Project ID of the related project. If more than one project is linked, use commas to separate the IDs. Example: P001 (Customer Loyalty Program Launch).
- Comments / Notes
- Description: Additional information, updates, or insights related to the task.
- How to Fill: Use this field to track updates, changes, or specific notes about the task’s progress or challenges. Example: Final design approved by the marketing team on May 10.

- Update regularly: Keep the status and progress of tasks up to date to ensure accurate tracking.
- Link tasks to projects: Ensure each task is clearly linked to its associated project for alignment and tracking purposes.
- Prioritize effectively: Use the priority field to identify which tasks need the most attention based on the project timeline and objectives.
Task Hierarchy and Subtasks
For more complex tasks, you may need to create subtasks to break down larger efforts into smaller, more manageable parts. Subtasks should be created with their own Task ID, Name, and other fields, and be clearly linked to the parent task in the Comments / Notes or Task Description fields.
